These Terms and Conditions govern all rentals and services provided by Happy Wheels ("we", "us", "our"). By completing a booking or collecting a bike, you ("the customer") confirm that you have read, understood, and agree to these terms in full.
1. The Rental Agreement
1.1 A rental agreement comes into effect when you complete a booking (online or in person) and is confirmed upon collection of the bike(s).
1.2 By collecting your bike, you confirm that you are physically fit and capable of cycling, that you hold a valid form of identification, and that all information provided at the time of booking is accurate.
1.3 Bikes may be collected from Hotel Karel de Stoute, Bruges, during our stated opening hours. Collection and return times will be confirmed at the time of booking.
2. Age and Responsibility
2.1 Riders must be at least 16 years of age. Customers aged 16–17 must have a signed parental or guardian consent form before collecting a bike.
2.2 Customers booking on behalf of a group accept personal responsibility for ensuring all riders in their party meet the age requirement and agree to these terms.
2.3 Children under 16 may ride only as passengers on a suitable child seat or trailer, where available and specifically arranged in advance.
3. Pricing and Payment
3.1 All prices are quoted in euros (€) and include VAT where applicable.
3.2 Full payment is required at the time of booking or collection. We accept major debit and credit cards. Cash is not accepted.
3.3 Multi-day discounts, group discounts, and guest discounts (for customers staying at our partner hotels and Airbnb properties) are applied at the time of booking and cannot be applied retrospectively.
3.4 Prices are subject to change. The price confirmed at the time of booking will be honoured.
4. Identity Verification
4.1 A valid passport or national identity document is required at the time of collection. We will photograph the identity document of the lead renter as a security measure for the rental period.
4.2 This photograph is taken solely for the purpose of deterring theft and fraud, and to assist in the recovery of bikes in the event of non-return. It is not used for any other purpose.
4.3 The photograph of your identity document will be deleted within 7 days of the bike being returned in satisfactory condition. In the event of an unresolved theft or non-return, the data may be retained for longer and shared with the relevant authorities (Politie Brugge) as part of any investigation.
4.4 By collecting a bike, you consent to this identity check and the temporary retention of your document photograph. For full details on how we handle your personal data, see Section 12 (Privacy) and our Privacy Policy.
4.5 No monetary cash deposit is required. Payment in full is taken at the time of booking or collection.
5. GPS Tours and Route Content
5.1 Our GPS routes are included with every rental tier. Routes are curated by our team and are updated periodically.
5.2 GPS routes are provided for guidance only. We do not guarantee that all points of interest along a route will be accessible, open, or unchanged at the time of your ride.
5.3 Customers are responsible for their own navigation decisions. Happy Wheels accepts no liability for any loss, delay, or inconvenience arising from route changes, road closures, or the customer choosing to deviate from a suggested route.
5.4 A Garmin Edge Explore 2 GPS device is provided with every rental and must be returned in the same condition as issued. Loss or damage to the GPS device will be charged at replacement cost (currently approximately €300). The device remains the property of Happy Wheels at all times.
6. Picnic Baskets (Adventure Tier)
6.1 Picnic baskets are included with the Adventure tier rental and prepared fresh each morning.
6.2 Contents are subject to seasonal availability and may vary. If you have dietary requirements, allergies, or intolerances, you must inform us at the time of booking. While we will make reasonable efforts to accommodate requests, we cannot guarantee allergen-free preparation.
6.3 Picnic baskets are non-refundable once collected. No cash alternative is offered.
7. Customer Responsibilities
7.1 Helmet use. A helmet is provided with every rental. We strongly recommend wearing it at all times. We accept no liability for injury resulting from a customer's choice not to wear the provided helmet.
7.2 Lock use. A lock is provided. You are responsible for securing the bike whenever it is left unattended. Bikes that are stolen due to not being locked will not be covered and may be charged at full replacement value.
7.3 Traffic laws. You are required to comply with all Belgian road traffic laws during your rental, including cycling in designated cycling lanes where available, not cycling under the influence of alcohol or drugs, and using lights if cycling after dark.
7.4 Bike condition. You are responsible for the bike from the moment of collection until its return. Please inspect the bike with our staff at collection and report any pre-existing damage. Unreported damage discovered at return may be charged to the customer.
7.5 Return time. Bikes must be returned by the agreed return time. Late returns may be charged at a prorated hourly rate. Failure to return a bike without contact will be treated as theft and reported to the authorities.
8. Prohibited Use
The following are strictly prohibited:
- Allowing any person other than the named renter(s) to use the bike, unless they are named on the rental agreement
- Using the bike for commercial purposes, stunt riding, racing, or off-road use beyond the stated GPS routes
- Carrying more than one person per bike unless a child seat or trailer has been specifically arranged
- Transporting the bike on a vehicle without prior written permission
- Any modification or tampering with the bike
9. Damage and Loss
9.1 Customers are liable for any damage to the bike that occurs during the rental period, excluding normal wear and tear.
9.2 In the event of a puncture or minor mechanical fault during a ride, please contact us immediately. We will do our best to assist with a replacement or repair.
9.3 In the event of an accident involving injury or third-party damage, please contact local emergency services first, then notify Happy Wheels as soon as possible.
9.4 Theft must be reported to the local police (Politie Brugge) and a crime reference number obtained. In the event of non-return, Happy Wheels reserves the right to share your identity document photograph with the authorities to assist in recovery of the bike. Happy Wheels accepts no liability for personal belongings left on or with the bike.
10. Cancellations and Refunds
10.1 More than 48 hours before rental start: Full refund.
10.2 24–48 hours before rental start: 50% refund.
10.3 Less than 24 hours before rental start: No refund.
10.4 No-shows: No refund.
10.5 In the event of extreme weather (storm, flooding, or conditions that make cycling unsafe in our reasonable judgement), we will offer a full rescheduling or refund at no charge.
10.6 Happy Wheels reserves the right to cancel a booking for any reason beyond our reasonable control (including but not limited to equipment failure, supply issues, or force majeure events). In this case, a full refund will be provided.
11. Liability
11.1 Happy Wheels maintains appropriate public liability insurance. However, we accept no liability for:
- Personal injury, however caused, during the rental period
- Loss or damage to personal belongings during the rental
- Delays, changes, or closures affecting GPS route content
- Any consequential loss or indirect damages arising from use of our services
11.2 Nothing in these terms limits our liability for death or personal injury caused by our own negligence, fraud, or any other liability that cannot be excluded under Belgian law.
11.3 Customers participate in cycling activities at their own risk and are responsible for ensuring they are physically capable of completing the rental.
12. Privacy
12.1 Personal data collected during booking and collection (name, contact details, payment information, and identity document photograph) is processed by Inn Bruges (operating as Happy Wheels) in accordance with the General Data Protection Regulation (GDPR) and applicable Belgian data protection law.
12.2 Your identity document photograph (see Section 4) is processed on the basis of our legitimate interest in preventing theft and recovering rental equipment. It is stored securely and deleted within 7 days of satisfactory return of the bike. It will not be used for any purpose other than those described in Section 4.
12.3 Payment data is processed securely through our third-party payment provider and is not stored directly by Happy Wheels.
12.4 We do not sell or share your personal data with third parties for marketing purposes.
12.5 You have the right to access, correct, or request deletion of your personal data (subject to any ongoing legal obligation to retain it). To exercise these rights, contact us at hello@happywheelsbrugge.be.

13. Governing Law
These terms are governed by the laws of Belgium. Any disputes will be subject to the exclusive jurisdiction of the courts of Bruges (Brugge), Belgium.
